WhatsApp for travel agencies
Travellers ask on WhatsApp because it is fast, and they expect a fast answer. Fareply drafts each reply in the traveller's language with the exact price from your approved rate sheet, and your team checks and sends it. When you trust it, quotes can go out on their own, for example at night.
What travellers ask on WhatsApp
Most of an agency's WhatsApp is the same few questions, all day and late at night:
- "How much for 2 adults and a child in May?" A price, with dates, room type and ages.
- "Can I cancel if my flight changes?" A policy question.
- "What is included? Where is the pickup?" Details from your tour descriptions.
- "Can you give us a discount? We want to book." Questions only your team should answer.
Fareply prepares the first three and hands the last one to a person, with the reason shown in the inbox.
Prices from your rate sheet, never from the AI
Upload the price list you already have: PDF, Excel, Word or a photo of a printed sheet. Fareply reads seasons, room types, group sizes, child prices and supplements, shows every price next to the line it came from, and nothing is used until an owner approves it. Every quote is calculated from that approved table, and a price check stops any amount that does not match it.
In the traveller's language
The reply is drafted in the language the traveller wrote in, and amounts follow their number style: lakh grouping for INR, a comma for decimals in Turkish or German.
See how this works for travel agencies in India (English and Hindi, INR) and travel agencies in Turkey (Turkish, Arabic, Russian, German; EUR, USD or TRY). For Spanish-speaking markets, see agencias de viajes en Latinoamérica.
A person decides what matters
- Bookings, discounts, complaints and anything unusual go to your team.
- Dates, group sizes or extras without an approved price are never guessed.
- Nothing is sent until someone presses Send, unless you switch on automatic replies for a reply type.
Automatic replies, when you are ready
Start with suggestions. After a couple of weeks, when your team rarely changes them, switch price quotes or policy answers to automatic: all day, only outside office hours, or with a daily limit. "Hand to a person" is never automatic, and one click pauses everything.
The WhatsApp rules, handled
- Official platform. Fareply connects your number through the WhatsApp Business Platform from Meta. Replies go out from your own number.
- The 24-hour window. Businesses can reply with normal messages for 24 hours after the traveller's last message. The inbox shows how long is left, and follow-up reminders are timed to go out inside the window.
- Templates after 24 hours. When the window has closed, your team sends a template you approved in WhatsApp Manager, filled in with the traveller's name and reference.
- Meta's message fees. WhatsApp charges your business directly for some messages, at Meta's rates. Fareply adds nothing on top.
Step by step: Connect WhatsApp and the 24-hour window.
More than WhatsApp
Instagram, Messenger, Telegram, LINE, WeChat, email and the chat on your website arrive in the same inbox, with the same prices and the same checks. On the Pro plan and above you can also send branded quote PDFs and booking confirmations from your booking system.
Pricing
Plans start at €49 per month for 2 team members and 2 channels, WhatsApp included. Pro, at €119 per month, covers every channel and 5 team members. No commission on bookings and no setup fee. Agencies in Latin America, Turkey, North Africa, South Asia and Southeast Asia pay a lower regional price. See pricing.
Questions
Can we keep our existing WhatsApp number?
Usually yes. Fareply connects to the WhatsApp Business Platform, and Meta guides you through the steps for your number during setup. During early access we help you connect your number.
Does the AI make up prices?
No. Amounts come only from rate tables an owner approved. If a price is missing for a date, group size or extra, the question goes to your team.
Can several people answer the same WhatsApp number?
Yes. Everyone on your team works in one shared inbox. Conversations can be assigned, and internal notes are never sent to the traveller.
Do travellers know a reply was automatic?
Automatic replies end with a short line saying an AI assistant wrote them. Replies your team sends are yours.
Where is our data kept?
On our own servers in Germany. Your rate sheets and messages are never used to train AI models. See the privacy policy.
